Who is responsible for your information?

Bay EPC is operated by Nicole Austin, an independent domestic Energy Performance Certificate assessor based in South Devon. Nicole is responsible for deciding how Bay EPC uses personal information.

What information do we collect?

When you contact Bay EPC using the website form, email or telephone, we may collect:

• Your name, email address and the information in your enquiry.
• Your telephone number and property postcode, if you choose to provide them.
• Further property, appointment and billing details if you go ahead with an EPC assessment.

Our website and form providers may also process limited technical information, such as an IP address and browser details, to operate and protect their services. Please do not send sensitive personal information through the enquiry form.

Why do we use your information?

We use the information to answer your questions, provide quotations, arrange appointments, carry out EPC assessments, lodge EPC information with the official register where required, issue relevant paperwork and manage customer records.

Under UK data protection law, the relevant lawful bases are generally:

• Contract or steps before a contract: responding to booking requests and providing an EPC service you have requested.
• Legitimate interests: handling general business enquiries, keeping necessary correspondence and protecting the service against misuse.
• Legal obligations: keeping records where required for accounting, tax or other applicable duties.

We do not use an EPC enquiry to sign you up for marketing emails, and we do not sell your contact details.

Who processes or receives your information?

The website uses Formspree to receive enquiry forms. Your submitted details pass through Formspree and can be accessed through the Bay EPC Formspree account and any configured email notifications. Bay EPC uses Google email services to manage correspondence. The website itself is hosted by GitHub Pages.

Formspree says that it hosts its services in the United States and uses contractual safeguards for international data transfers. You can read Formspree's privacy policy and security information.

Where an assessment is commissioned, relevant property and energy-assessment information is processed through the applicable accreditation scheme (including Quidos) and lodged on the official national EPC register. EPC information can be publicly searchable on that register, subject to applicable rules and opt-out arrangements. See the official EPC register for more information.

We may also disclose information where required by law or necessary to provide an agreed EPC service.

How long do we keep information?

For enquiries that do not result in a booking, we keep enquiry details for up to 12 months after the last contact, unless the information is needed for a specific legal reason. Records relating to completed work, invoices and certificates may need to be kept longer to meet legal, tax or professional recordkeeping requirements.

We review information held in our email and form systems and delete it when it is no longer needed.

Your data protection rights

Depending on the circumstances, you can ask to see your personal information, correct inaccurate details, have information deleted, restrict or object to certain uses, or request a copy in a portable format. You can contact us using the details above.

If you're unhappy with how we use your information, please contact us first. You also have the right to complain to the Information Commissioner's Office (ICO).

Cookies and links to other websites

Bay EPC does not currently add advertising or analytics tracking to this website. The hosting and form services may process technical information necessary to operate and secure their services.

Some links take you to other websites, including Google Maps, Google Reviews and the government EPC register. Those websites have their own privacy and cookie arrangements.
